During a ceremony or quiet moment, you might hear a low hum if standing right next to the unit, which is why we position units away from ceremony focal points. We've never had a guest complain about noise from our equipment.
Yes — tent cooling is one of our most common event requests. The unit sits inside or just outside the tent with the exhaust hose routed through a sidewall flap or a small opening we create. How well it cools depends on tent size and ambient temperature. For a 20×40 tent on a hot July day, two or three units are typically needed. We'll discuss your tent dimensions and guest count to recommend the right number.
Our units are clean, white commercial AC units — roughly the size of a large suitcase on casters. They're not glamorous, but they're not construction equipment either. Many event planners position them behind a table skirt, a plant arrangement, or against a draped wall. With a little creative placement, they're very easy to minimize visually. Some clients choose not to disguise them at all — guests figure out pretty quickly why the tent is comfortable in August.
For summer weddings and large events, we recommend booking at least two to three weeks in advance. Alabama summers keep our units busy from June through September. That said, we do accommodate last-minute requests when availability allows — call us directly if your event is within a week and we'll tell you exactly what we can do.
Portable AC units work best in enclosed or semi-enclosed spaces. An open-sided tent in 100°F direct sun is genuinely challenging for any AC system. A closed or side-draped tent in the same heat is very manageable. The more you can close off the space, the more effective the cooling. We'll be honest with you about what's realistic for your setup so you're not surprised on the day.
We do our best. If a venue HVAC fails the morning of an event, call (205) 813-8170 immediately — don't use the web form. We'll assess availability in real time and tell you straight away what we can do. We've handled more than a few event-day emergencies and we take them seriously.
A general starting point: one unit per 500–600 square feet of enclosed space, adjusted upward for high ambient heat, poor insulation, or large crowd density. For a 1,000 sq ft venue with 100 guests on a hot day, two or three units is a comfortable deployment. Share your space size, guest count, and venue type when you request and we'll give you a specific recommendation.
